321-Create Work Orders – From sales order May 29, 2018
Work orders
Some Work Orders are created from Sales Orders.
Once a Sales Order is created and the system identifies that warehouse will need to get parts to assemble them to fulfill the sales order.
Once the SO is approved, a hyperlink will appear on the line level of the item that needs to be assembled, with the word “Work Order”.
- Click “Work Order”. Another window will open and enter “Location” where parts to be assembled are coming from. (usually the Warehouse).
- Check that all the component parts of the assembly are correct. The system will automatically load parts needed to create the equipment on the SO. Sometimes customer asks for something different than regular equipment (different tank size, Fawcett color, etc.) so the part(s) required to complete customer specific order will need to replace what it comes automatically in the system. Make sure qty. is also correct.
- Save. A WO # will be assigned by system and added to Customer’s transactions.
Work Orders are fulfilled by the warehouse and until the status of the Work Order shows “Built”, which will happen when warehouse has completed the job, it cannot be invoiced by CSR (NS will not allow it because order cannot be fulfilled thus an invoice cannot be created.) See Assembly Build.
CSR can only invoice this SO, not only after assembly is built but order has to be fulfilled, meaning that the equipment has been assigned for this specific order and lastly, the fulfillment has to show “shipped”. Only then the SO will show a status of Pending Billing and CSR can then invoice it.
Note: Sales person is in charge to make sure that all parts needed to complete the order are in the SO and any changes needed to fulfill the customer needs are changed/entered in the SO. Point 2 of this SOP should rarely apply since SO should be corrected by salesperson before it even comes for approval.
